S4SCON Speaker Terms & Conditions

Updated August 5, 2020. By submitting your session proposal to Government Social Media LLC (GSM), and/or by accepting our request to present at virtual S4SCON, you understand and agree that:

  1. GSM will evaluate your proposal and will share this information with any advisors, staff members and third parties selected to review speaker proposals.

  2. You must inform us in the Call for Speakers if you have any need or disability that will make it difficult or impossible to fulfill any of these terms, and let us know the assistance you require to do so. We will do our best to accommodate requests.

  3. Presenters agree to amend their submission based on feedback from conference organizers.

  4. Sessions for the 2020 event are 100% virtual and there is no physical, in-person event.

  5. Virtual breakout sessions are no longer than 45 minutes.

  6. Breakout sessions are pre-recorded with you and our GSM team at a mutually convenient time between the dates of August 31 – September 11, 2020. We’ll stream your pre-recorded session in a time slot during the event on September 22-23. You must commit to manning the live chat box and/or Q&A with participants for 15 minutes immediately following your streamed session. This gives a semi-live feel to breakouts, while some of our general sessions will be aired live.

  7. The logistics of your pre-recorded session with us are:
    • We’ll find a mutually convenient recording time between August 31 – September 11, 2020
    • You’ll need the internet, a webcam, your slide deck (using our PowerPoint template), good audio – preferably a headset or earbuds with mic, and a quiet room.
    • The recording will take place via Zoom webinar, using our account, which we record on our end. Up to the first 15-minutes will be a speaker prep meeting with us, and when we start recording, you’ll give your presentation from start to finish.

  8. Many public communicators are quite skilled in video production, so if you’d prefer to produce a high quality pre-recorded session on your own, it must be approved and you’ll need to submit a 2-minute video clip of what your session will look like. If approved, you’ll need to provide us with the final video file (via Dropbox, Google Drive or similar) by September 11, 2020.  

  9. Presenters may be asked to provide a 30-second promo video clip for their session, which may be used for GSM promotional purposes.

  10. All presenters must use the presentation PowerPoint template provided by S4SCON.

  11. You will provide your final slide deck (may be in PDF format and any notes may be omitted) and any supporting materials such as handouts to us by Monday, September 14, 2020 to be saved with your session and accessible by participants.

  12. The complimentary speaker admission is not transferable. If you cannot host your session or need to cancel for any reason, you will notify GSM as soon as possible and will not receive complimentary admission.

  13. In the event you cannot host your session, you may recommend a replacement presenter, but you understand that GSM may or may not accept the replacement and may choose to cancel the session entirely or assign it to another speaker.

  14. In the event that you do not meet the deadlines established by GSM, requiring repeated staff follow-up, you understand that your session and participation may be canceled. No reimbursements will be made for any non-refundable expenses.

  15. You understand that while participants are not allowed to record, repurpose sessions, or share them publicly – but due to the nature of any virtual event being online – you are solely responsible for the content of your session and you are advised not to disclose private, sensitive or damaging information. Screenshots or footage of direct messages from the public should have the profile name and picture blurred and identifying or personal information should not be shown.

  16. You will not hold GSM liable and release the company from any repercussions, liabilities or damages should any advice you offer be misconstrued, shared on the internet or anything else against our policies for participants. 

  17. You agree to be professional and courteous in your remarks and slides, and not to disparage, shame or ridicule any members of your team, agency or the public during your presentation or in other communications on the event platform.  

  18. You agree that we may record your session and place it on the event platform for viewing by registered participants, including after the event. GSM may use your session recording for other purposes such as marketing and may package it together with other sessions for sale and you grant GSM a copyright release to do so.

  19. Your session recording is for exclusive use by GSM and you are not permitted to repurpose it for any other purpose, including other events. You aren’t restricted from re-creating your content and topic area for other purposes, but your GSM session recording may only be used by GSM.
