2. Information We Collect

For the purpose of this Privacy Policy, “personal information” is defined as any information relating to an identified or identifiable individual who is the subject of the information. We, and third parties who have integrated their technologies into our platforms and services, may collect:

  • We collect personally identifiable information such as name, email, mailing addresses, agency/company name, phone number and any other information provided on registration, transaction and other forms on our sites, including mailing lists, downloads, special offers, contests, registration forms, purchase forms, polls and surveys.
  • GSM does not collect sensitive personally identifiable information such as race, ethnic origin, religious or philosophical beliefs, union membership, sexual orientation, health, biometric data, or the contents of private messages to other users on our platforms.
  • We may request that you share with us personal preference information such as your preferred software, vendors, features, budget, and interests.
  • You may optionally share information with us specifically in order to pass it along to vendors or a specific vendor via services such as our vendor directory or in our virtual trade shows. Any vendor inquiry form of this nature will be clearly disclosed and you are not obligated to submit your information.
  • We may collect information on our sites via tracking tools such as cookies and pixels. We may keep track of browser usage, device information and general geolocation including related to any purchases you make on our sites, GSM events you attend virtually or in-person, sessions you participate in or watch on-demand, views, clicks and interactions with our digital content.
  • Certain information may be recorded by GSM’s hosts and internet servers, such as the type of browser being used, its operating system, your IP address and other unique identifiers for the computer, mobile device, tablet or other device you use to browse our sites.
  • Some of our sites that include user-profiles (such as virtual event sites and our member network) may collect additional profile information you provide, such as your name, profile picture, images, public username and other information you provide such as agency type. These profiles do not disclose your personal contact information by default.
  • GSM may take screenshots or footage of our virtual events, meetings and conferences, including behind-the-scenes prep and rehearsals, livestreams and other parts of the online event program. We do not document, record, or have access to, the contents of any private conversations, messages or video chats between individual attendees or participants.
  • GSM event photographers and videographers may be present at our in-person events, and they, along with our staff and official subcontractors may capture photos and video clips of attendees.
  • In order to make any purchases on our websites, visitors may need to provide a credit or debit card number and any other information required to perform a transaction, such as name, address, phone number. (Please note credit/debit card numbers are not stored on our servers and are handled completely by third-party payment processors.) As a part of any purchase, we may also request additional data, such as type of company/agency, jurisdiction population, etc.

3. How We Use Information

  • Transactional data. As website visitors provide a credit card number and other information required to perform a transaction on our sites, the data is transferred directly to payment processing providers. GSM does not collect or store customers’ credit card or bank card information on our own physical servers. The information is encrypted via Secure Socket Layers (SSL) and submitted directly to the payment processing providers. GSM will send “transactional emails” to purchasers and participants with information specifically about their transaction and other communications specific to the event, item, product or service the user has selected or registered for, such as confirmations, receipts and other information they need to use the service.
  • Marketing data. If you opt-in to any of our email lists, join our professional association or purchase products via our sites, we may use your email address to send you marketing emails with information we think you will find useful. Please see your right to removal in section 4 below.
  • We may make inferences based on the personal information collected about you, such as your likelihood of purchasing products or services.
  • We use the email address collected during professional association membership registration in order to subscribe you to an email update from the association, usually no more than once per week. Please see your right to removal in section 4 below.
  • We use the email address collected during event registration to send marketing communications from GSM and event sponsors. Please see your right to removal in section 4 below.
  • We sometimes have pages on our sites where we list the names or agencies of participants in our programs. We will only list those who have clearly opted-in to have their information listed publicly on our website. Please see your right to removal in section 4 below.
  • We may share personally identifiable information with GSM sponsors, advertising partners, exhibitors, affiliates, partners and advisors.  Please see your right to removal in section 4 below.
  • We may use cookies to allow you to save your passwords and preferences for you in your browser.
  • We may use pixels from social networks and analytics software in order to show you targeted content and advertisements based on the data we collect from our websites.
  • On any of our sites that have user-profiles, such as for virtual events, you may optionally share additional information about yourself if you wish. Other participants and exhibitors may be able to request to connect with you on the platform, but you are in control of connecting and what contact information you share.
  • GSM may use screenshots or footage of our virtual events in promotional materials now and in the future, and by registering, attendees permit the use of their appearance in such materials.
  • We may use photos and videos of participants in our events in any GSM promotional and informational materials. By registering, attendees permit the use of their appearance in these marketing materials.
  • GSM may be required to disclose personal information in response to lawful requests by public authorities, including to meet national security or law enforcement requirements.

4. Your Rights

  • You have the right to request to be removed from any of our marketing emails, either a specific list or all lists. Please note that transactional emails and emails with updates to our policies and conditions will continue to be sent.
  • Any automated electronic mail sent by GSM will include an unsubscribe/opt-out hyperlink to allow recipients to opt out of email lists. Our list removal process is automated and unsubscribe requests will be honored quickly.
  • We require our sponsors and partners to honor any opt-out requests as a condition of their relationship with GSM. Please inform us if you have any issues with opting-out with any sponsors or partners.
  • You may disable cookies from being collected. Most browsers are initially set up to accept cookies. You can, however, reset your browser to refuse all cookies or indicate when a cookie is being sent. Please consult the technical information relevant to your browser for instructions. If you choose to disable your cookies setting or refuse to accept a cookie, some parts of the site may not function properly or may be slower.
  • California law allows residents to request certain details about how their personal information is shared with third parties for the third parties’ direct marketing purposes. If you are a California resident and would like to make such a request, please contact us using the methods described in the Contact Us section and inform us of your residency.
  • If you previously opted-in with us to have your name or agency name listed publicly as participants in one of our events or programs, you may request for us to remove your public listing.
